CONTEXT

SalesWeb is a critical M365 SharePoint hub that supports day-to-day commercial operations at SC Johnson Lifestyle Brands, providing essential brand, sales, and operational resources. The site is used by 250+ users daily, including cross-functional teams and external brokers supporting Sales.

DESIGN CHALLENGE

How might we redesign SalesWeb into a more inutitive, user-friendly, and accessible platform for hundreds of employees to improve operational efficiency and workflows to help users retrieve key data & information across sales operations?

Original SalesWeb

I started by mapping out the folder pathway structures for each folder within the SalesWeb document library. This process helped me develop an initial understanding of the types of materials and resources housed within each folder. By reviewing the content in depth, I was able to evaluate how information was organized, identify patterns across the library, and begin uncovering opportunities to improve the overall structure and accessibility of the content.

USER INSIGHTS

After interviewing 30+ users across 8 cross-functional teams and holdinI uncovered key user experience pain points within the existing platform. Through qualitative research and analysis, I identified recurring challenges, explored potential solutions, and developed recommendations for addressing these issues. These user insights directly informed by design decisions and guided the redesign process.

DESIGN SOLUTION: FILTERS

                                                                       Figma Mockup                                                                                                                  SharePoint Filter

Filters were introduced to SalesWeb to better structure and organize hundreds of thousands of files in a more systematic and consistent way. By allowing users to immediately refine search results, the filters streamlined navigation and enabled faster, more efficient information retrieval. Since the content was primarily differentiated by brand, category, and fiscal year, I designed the filtering system around these key attributes to help users quickly narrow down and access the information most relevant to them.

BUILDING AN AI AGENT

I built and trained an AI agent utilizing Microsoft Copilot Studio and ChatGPT and integrated it into the redesigned SalesWeb platform. This involved defining the agent’s tone and response formats, providing key information and contextual knowledge, and developing example user queries to help the agent better understand and respond to common user needs.

DESIGN SOLUTION: MAIN DASHBOARD

The main dashboard was designed to provide users with quick access to the most frequently visited folders, based on insights from user research. Each folder card includes a clear title, brief description, and navigation button, allowing users to quickly identify and access the information they need.

FEEDBACK & OUTCOME

Once the site was launched, I received a lot of positive feedback from employees across the organization. Seeing the tangible impact of my work and knowing that the solutions I created were improving employees’ day-to-day workflows was incredibly rewarding. This experience taught me how thoughtful, user-centered design can improve efficiency and productivity, especially at a fast-paced and large organization like SC Johnson.
